Entry Interview

The purpose of the entry interview is to confirm that PIC applicants have necessary policies and procedures in place that meet or exceed current PIC standards.  

The interview is not intended to be a full audit of a carrier’s compliance to PIC standards, rather a review to determine if the carrier is prepared to enter the Partners In Compliance program.

The interview is comprised of:

  • Review of key policies

  • Confirmation from carrier that PIC standards have been met

  • Verification of insurance coverage 

During the interview the carrier’s designated safety officer, the person designated responsible for vehicle maintenance, the person responsible for the implementation of safety program, and key management team members, must be in attendance.  

For the interview to be considered complete it must be signed off by the:

  • Person conducting the interview

  • A senior company official (other than safety officer)

  • Carrier’s designated safety director/manager

  • The person the company has designated responsible for vehicle maintenance

  • The person designated responsible for the management and administration of carrier’s safety program

 Recommended Interview Process:

  1. Interviewer to confirm date of interview.
  2. Interviewer to confirm applicant has a copy of this document and PIC Safety Standard Manual, prior to the  interview.
  3.  Interviewer will review policies to evaluate if they meet requirement of the PIC Safety Standards manual prior to the interview, and then be prepared, if required, to provide said policies.
  4. Prior to the interview, the interviewer is to confirm all required persons are to be present.
  5. Interview day, interviewer to;
    1. Confirm all necessary persons are at interview prior to starting
    2. Ensure each person at interview understands fully the scope of the Partners In Compliance program, its criteria and its requirements
    3. Answer any questions in regards to the PIC Safety Standards Manual.
    4. Applicants to provide proof policies/procedures have been implemented. Interviewer to review and discuss any revisions and subsequent implementation with applicant. All relevant comments must be documented. (“d” Only pertains to question 1-10 of this interview)
    5. Review carrier’s public liability insurance to insure it meets legislative standards. Cargo and Passenger hazard insurance must also be produced if required. Interviewer to document results. amd retain a copy of "Proof of Insurance".
    1. Safety officer must provide interviewer with a 12 month copy of applicant’s Carrier Profile dated within 30 days of the interview.  
    2. Review interview results, including all comments with applicant.
    3. Insure that PIC Interview Confirmation Page is completed and signed by all necessary persons.
    4. Supply applicant a copy of the interview report, to ensure all questions and answers were fully understood and conveyed on the interview.

    6. Interviewer to provide a copy of the report to the Partners In Compliance Director, within 7 days.
